Privacy Policy

Sport Explorers is the multi-sport program provider of Private Coaching Collective (“we”), delivering programs in schools, community centres and more. This page says what we collect through this website, why, where it goes, and how you can see, fix or delete it. We handle personal information under British Columbia’s Personal Information Protection Act (PIPA).
What We Collect, and Why
- When you ask to hear first, join a waitlist, or ask us to come to your school: your name and email, your child’s first name and grade, the school, and whether you’d like our news and offers. We use it to tell you when registration opens or a spot comes up, and to plan which schools to go to next.
- When you ask about birthday parties or community programs: your name, your email, your question, and your child’s grade if you give it. We use it to answer you.
- When a school or PAC asks about programs: the contact’s name, role, email, and phone if given, the school or organization, what they’re interested in and when, and any note. We use it to reply and to plan the program.
We don’t ask for your child’s last name, birthdate or age. Please don’t put medical or health details in a note. If your child has a need we should know about, tell us when you register.
Registering and Paying
When you register, you go to Uplifter, the registration and payment system we use. What you enter there is handled under Uplifter’s privacy policy, and we use your registration to run your child’s program.
Where It’s Kept
- Our records are kept in monday.com, a work-management service. Each form you send is saved there with a note of what you asked, so we have the history of our conversation.
- This website is hosted by Cloudflare. Like any website host, Cloudflare records technical details of each visit, such as your IP address, to keep the site running and secure. Our own records of the site never include your name or email.
- Some of these companies store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.
Spam Protection
Our forms use Cloudflare Turnstile to check that a person, not a bot, is sending them. It loads when you first click into a form and checks when you press send. It’s a security check, so it runs without asking first. Cloudflare may also set a short-lived security cookie to tell people from bots; it isn’t used to track you. Cloudflare’s privacy policy covers what it collects.
Analytics
We use Cloudflare Web Analytics to see how the site is used, such as which pages are visited and which sites people come from. It doesn’t use cookies or follow you from site to site, and it never gets your name, your email, your child’s name or anything you type.
News and Offers by Email
We only send news and offers if you tick the box that asks for them. Each one says it’s from Sport Explorers and has a link to unsubscribe, and you can unsubscribe at any time, or by emailing us. If you get our emails and didn’t sign up, someone may have typed your address: tell us and we’ll take it off. Messages about something you asked for, like a waitlist spot or an answer to your question, are sent whether or not you tick the box.
Children
We collect information about children only from their parent or guardian, and only what we need: a first name and a grade. We don’t knowingly collect information directly from children.
How Long We Keep It
We keep a family’s or a school’s record while we’re in touch. If two years pass with no contact either way, and you’ve never registered, we delete it.
Seeing, Fixing or Deleting Your Information
Email our privacy contact at [email protected] to ask what we hold about you or your child, to correct it, or to have it deleted. We’ll answer within 30 days. Deleting removes your record in monday.com, including your child’s details and the history of what you sent. If we can’t do something you ask, we’ll tell you why.
If you’re not satisfied with our answer, you can contact theOffice of the Information and Privacy Commissioner for British Columbia.
Changes
If we change this policy, we’ll update this page and the date at the top.
